Handpiece repair is an unusually opaque purchase. You mail an expensive instrument to a company you have probably never visited, they open it somewhere you cannot see, they replace components you will never inspect, and you get it back working. Whether the job was done well only becomes apparent months later, when the instrument either holds up or does not.

That opacity is why price ends up doing most of the deciding. This guide sets out what actually separates one repairer from another, so you have better criteria than the number on the quote.

1. Where do the parts come from?

This is the question that matters most and gets asked least.

Most handpiece repair companies are assemblers rather than manufacturers. They buy bearings, turbines, O-rings and chucks from third-party suppliers and fit them. That is a perfectly legitimate business, but it means the quality of your repair is determined by a supplier you never deal with, and it can change without anyone telling you.

Bearings are where this shows up. Two bearings smaller than a shirt button carry a rotor past 300,000 RPM through hundreds of autoclave cycles a year. Their tolerance grade and cage material determine how long the rebuild survives — and you have no way of inspecting either. A handpiece rebuilt with economy bearings works perfectly on the day it comes back and fails months earlier than one rebuilt properly.

Ask: do you manufacture your own components, or buy them in? If you buy them, from where, and what tolerance grade?

2. What is the warranty, in writing?

Six months on parts and labor is the common industry standard. Anything materially shorter deserves an explanation.

Warranty length is useful precisely because it is a costly signal. A company that expects its bearings to last will happily guarantee them for longer, because it rarely has to honor the guarantee. A company using economy components cannot afford a long warranty and will not offer one.

Ask: how long, does it cover parts and labor, and what voids it?

3. How is the repair tested before it ships?

There is a real difference between spinning a handpiece up to confirm it turns, and testing it under working load.

A rebuilt turbine can run smoothly with no bur engaged and still perform poorly in a preparation, because free-running reveals nothing about behavior under cutting load. Proper bench testing covers free-running speed, concentricity at the bur, chuck retention, water spray pattern and fiber-optic output.

Ask: is the handpiece tested under load, and is bur retention checked?

4. Do you get an estimate before work starts?

You should always receive a diagnosis and a written estimate before anyone commits you to a cost, and you should be free to decline and have the instrument returned.

Be alert to the pattern where an instrument is dismantled before an estimate is issued, leaving you choosing between an unexpected quote and paying to get a disassembled handpiece back.

5. Which way is shipping free?

“Free shipping” frequently means free inbound only, with return shipping either charged or discounted. Over a year and a dozen repairs that is a real cost, and it is easy to miss when comparing quotes.

Ask: is shipping free in both directions?

6. What is the realistic turnaround?

Most straightforward repairs should be finished within 24 to 48 hours of arrival, with 3 to 5 business days door-to-door once shipping is included.

Turnaround matters more than it appears on paper, because the real cost of a handpiece in transit is the disruption to your schedule, not the repair invoice. A practice with thin instrument reserves feels a week-long turnaround far more than a modest price difference.

Ask: how long from arrival to shipping back, and do you notify me when it ships?

7. Do they service your brand properly?

Nearly every repairer claims to service all brands. What varies is depth.

Brands differ in ways that matter mechanically. Lares turbine bearings must be pressed in with proper tooling or they seat off-axis and fail early. Midwest part compatibility varies between production runs sharing one model name, so the serial number determines which components fit. NSK uses integrated screw-in cartridges where alignment on reassembly governs cartridge life. W&H specifies drive-air pressures that differ by connection type.

A repairer who knows these specifics will mention them unprompted. One who does not may still do acceptable work, but will more often replace parts that did not need replacing.

Ask: what typically fails on my specific model, and what will you check?

8. Will they tell you when it is not worth repairing?

Some handpieces should not be repaired. Physical damage to the body or head, or a model old enough that components are genuinely unobtainable, can make replacement the honest recommendation.

A repairer willing to say so — and to return the instrument free rather than quote marginal work — is showing you how they will behave on every future job.

Any competent repairer will answer all eight without hesitation. Reluctance on the first two is the most informative signal you will get.
